The Town of Schererville is now hiring for the position of Administrative Assistant:
General Purpose: Perform a variety of routine and complex clerical, secretarial and administrative work in keeping official records; providing administrative support to the Town Council, Town Manager, Director of Operations and Administrative staff; and assisting in the administration of the standard operating policies and procedures of the department. Ability to properly construct letters for Town Council, Town Manager and Director of Operations.
Supervision Received: Work under the supervision of the Town Manager, Director of Operations and Town Council.
- Perform routine clerical and administrative work in answering phones, receiving the public, providing customer assistance, establishing and maintaining filing systems and data processing.
- Knowledge of Microsoft Word, Microsoft Excel, and Adobe Acrobat.
- Prepare various vendor invoices
- Prepare and maintain agendas for Redevelopment Commission, Waterworks Board, Stormwater Board, Utility Board, and Town Council (and Economic Development Commission when necessary)
- Maintain elevator operating license.
- Handle Freedom of Information requests pertinent to Administration.
- Maintain files, create files, and archive files.
- Maintain Job applications
- Prepare and maintain timekeeping records for Administration and IT staff
- Schedule appointments, and perform other administrative and clerical duties.
- Maintain inventory and orders office supplies and materials as needed.
- Oversee Maintenance throughout Town Hall as needed
- Assist other town department heads in various clerical duties.
- Operate a vehicle to run errands.
- Perform any other tasks requested by Town Manager, Director of Operations, or Town Council.
DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
- Graduation from a high school or GED equivalent.
- Minimum of five (5) years office experience.
- Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures.
- Skill in operation of listed tools and equipment.
- Ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations.
Tools and Equipment Used:
Phone; personal computer including word processing software and spreadsheets; copy machine; fax machine; calculator; scanner.

Essential duties of being a Telecommunication Operator include, but are not limited to: Receive and transmit telephone and radio emergency calls, as well as non-emergency calls, complaints, and inquiries from the public. Operate two-way radios, multi-line phone and teletype systems, computers and other complex equipment to quickly and correctly access information and respond to requests from law enforcement, fire and EMS.
